Creating Packing Reports

You can create packing reports for Items that need to be shipped to a customer, client or storage space. This feature helps you arrange packing handling and transport, and ensure the entire shipment arrives at its destination.

You create packing reports by grouping Items into Packing. You can pack your Item(s) in one single Packing entry, create a different Packing entry for each Item or split your Packing into numerous parts and decide how the pieces should be divided between them. To do this:

To create a packing report

  1. Click Shipping on the left of the screen.
  2. Select a Job from the list on the left then a Shipment from the list on the right and click Next
  3. If you’re in the Ship screen you will need to click on Pack.
  4. Click Add to add Packing to the list in the middle section if the screen. You can select between two options:
    Packing in warehouseIndicates Packing is located on site.
    Packing out of warehouseIndicates the Packing is located offsite and will need collection.
    You can split Packing into multiple parts by right-clicking, selecting Add Part and selecting In warehouse or Out of warehouse.
  5. Check the Packing details, and make any changes required:
    No.Specifies the position of the Packing in the packing report. You can change it by clicking Move Up or Move Down.
    ID The ID number is set by default as the next available sequential number. To change this, click the ID and type in a number. Packing entry ID numbers must be unique. If Packing has been split into different parts, each part will still use the same ID.
    PartIf Packing is not split into parts, this will always display as 1. This number changes only when you split Packing into parts and denotes the part number.
    InIndicates whether or not the Packing is in the warehouse and cannot be edited here.
    CreatedDisplays the date Packing was created.
    TypeSelect a Packing type from the dropdown menu (e.g. Pallet, Travel Frames, Loose Packages).
    DescriptionType in a short description of the Items contained in the Packing (Optional).
    Dim. UnitSelect a unit of measurement for the size of the Packing.
    LengthType in the length of the Packing.
    WidthType in the width of the Packing.
    HeightType in the height of the Packing.
    Weight UnitSelect a unit of weight for the Packing.
    WeightType in the total weight of the Packing.
    PackedThis shows the packing date. You can change this by clicking Packed and selecting a date from the calendar.
    ManualChoose whether volumes and super-dimensions are calculated automatically or filled in manually by selecting a Tick or a Cross.
    Vol. UnitSelect a unit for the volume of the Packing (if set to manual).
    Vol.The total volume for the Packing. This is calculated automatically (unless set to manual) when you enter the length, height and width.
    Vol. WeightThe total volume weight for the Packing. This is set automatically (unless set to manual) when you enter the weight.
    SD UnitSelect a unit for the super-dimensions for the Packing (if set to manual).
    SDThe super-dimensions for the Packing. This is calculated automatically (unless set to manual) when you enter the length, height and width.
  6. Add Items to the Packing. To do this, select one or more Items from the list at the top and drag them to a Packing entry in the list in the middle. The Item is added to the Packing and a row is added to the Packing’s Related Items list at the bottom of the screen. A multi-part Item can be packed across multiple Packing entries if required. Simply add additional Packing rows to the Packing list and drag and drop the Item on each. If you have created multiple parts for a Packing, then drag and drop the Item you wish to pack into each part. If you are packing multiple Items, drag and drop every Item into each part.   7. Check the details for each of the Packing’s related Items, and make any changes required:
    No. Pieces Type in the number of pieces that make up the Item. If you have packed an Item over multiple Packing entries, enter the number of pieces from the overall Item that need to be packed into this Packing entry.
    No. PkgsType in the number of inner packages within the Packing or Packing part.
    DescriptionThis displays the Item description you entered when adding the Item on the Item screen.
    Prox. RefThis displays the proximity reference you entered when adding the Item on the Item screen.
    NotesThis acts as a snapshot of data taken when an Item is being related to a Packing entry.
    Condition Rep.This displays the condition information you entered on the Item screen. You can edit this information here if required and acts as a record of the Item’s condition at time of Packing.

To Produce a Packing List Report

  1. Click on Email, Save Print.

To Produce a Packing Handling-Out Note

  1. Click on Packing Handling-Out
  2. You will be asked whether you want to raise a Dispatch Note. Chose Yes or No. Dispatch Note Prompt
  3. Select the date the Packing will be handed out.
  4. Select from where the Packing will be handed out and where to whom by clicking on Edit in the Move From and Move To sections respectively.
  5. Click on Email, Save Print.
